Guidelines
General
- FWD SSC handles technical talks devoted to ALFA, AFP, LUCID and ZDC.
- The talk is counted as technical if it contains up to 10% of physics.
- Talks containing more than 10% of physics are handled by the SC.
- Technical talks are not counted against the speaker's quota.
- Contributions to Regional and National conferences and workshops
- FWD SCC asks the SC Liaison to insert specialized topical conferences in GLANCE.
Sending abstracts
- All submissions are done via SSC.
- Talks are proposed to the SSC by the PLs of the FWD subsystems.
- Speakers should not accept individual invitations from conference organisers without consulting SSC.
- FWD SCC registers the abstract in GLANCE and sends invitations for a talk.
Slides approval
- Slides should be on behalf of ATLAS Forward Detectors or on behalf of a given subsystem.
- Upload slides to the CDS at least 10 days before the start of the conference.
- Request an approval as SLIDE in the "Forward Detectors" category to inform SSC.
- Circulate the CDS link among the appropriate detector community for their feedback (at least the PL).
- Experienced speakers are not requested to rehears their talk, unless a global rehearsal session is organised by the SC.
- Only approved plots can be shown.
Plot approval
Proceedings approval
- Contact PL to decide if PROC is 'on behalf of ATLAS' or 'on behalf of ATLAS Subsystem’
- Talks based on results obtained with heavy use of ATLAS data and resources should be 'on behalf of ATLAS’ (with the speaker as only author).
- Talks based on work performed with little use of ATLAS data and resources should be 'on behalf of ATLAS Subsystem’ (more flexible choice of authorship).
- Procedure for PROCs classified as 'on behalf of ATLAS': PubComProcNotes
- The author prepares the proceedings draft taking into account the ATLAS Guidelines for Conference Proceedings
- The author has the proceedings draft reviewed within his/her institute.
- The author uploads the PROC note in CDS, without asking for approval as PROC.
- The author notifies the FWD-SSC, at least 3 weeks before the submission deadline.
- The institute team leader confirms in a CDS comment that the document has been reviewed.
- The author asks for approval as a PROC in CDS, at least 2 weeks before the submission deadline.
- PubCom reviews the proceedings draft until the final proceedings is agreed upon.
- PubCom approves the proceedings and a new public PROC note is created.
- The author can send the manuscript to the Conference Organising Committee.
- Procedure for PROCs classified as 'on behalf of ATLAS SubSystem': PubComProcSys
- The author prepares the proceedings draft taking into account the ATLAS Guidelines for Conference Proceedings
- The author has the proceedings draft reviewed within his/her institute.
- The author uploads the PROC note in CDS, without asking for approval as PROC.
- The author notifies the FWD-SSC, at least 3 weeks before the submission deadline.
- The institute team leader confirms in a CDS comment that the document has been reviewed.
- The internal review defined by the PL takes place.
- The relevant subsystem group, the PL and FWD PL sign-off the PROC in CDS.
- The author asks for approval as a PROC in CDS, at least 2 weeks before the submission deadline.
- PubComm performs a formal check of the document.
- PubCom approves the proceedings and a new public PROC note is created.
- The author can send the manuscript to the Conference Organising Committee.
- Only approved plots can be shown.
